Position Description:
The Facilities & Workplace Experience Specialist ensures an operationally excellent, safe, clean, and welcoming workplace while enhancing the overall employee experience. As the first point of facilities contact for employees and vendors, this role blends hands-on facilities oversight with strong customer service and a people-first mindset. The Specialist maintains a professional environment aligned with organizational standards while continuously looking for opportunities to improve how employees engage with their workplace.
Key Responsibilities:
Facilities Operations
– Serve as the primary contact for facility-related requests and inquiries, ensuring timely and positive resolution.
– Conduct regular walkthroughs to monitor cleanliness, safety, and overall presentation.
– Coordinate maintenance, repairs, and service requests with internal teams and vendors.
– Monitor office equipment, shared spaces, and supply inventory.
– Maintain records of service requests, vendor contracts, and compliance documentation.
– Ensure adherence to health and building regulations.
– Support office space planning, moves, and workstation setup.
– Assist with workplace safety, security, and emergency procedures.
– Manage breakroom supplies, snack inventory, coffee machine maintenance, and daily presentation.
– Coordinate with vendors for deliveries and janitorial staff to ensure cleanliness and restocking.
– Review calendars, reserve rooms, and coordinate setup, refreshments, and decorations for scheduled events.
– Collaborate with the Event Coordinator and/or Property Management on landscaping, maintenance, cleaning, logistics, waivers, COIs, and AV needs.
Preferred Qualifications:
– Completion of a colleg e degree program.
– Self-starter with a bias toward action, strong follow-through, and ownership mentality.
– Dependable, consistent, and accountable; someone who reliably delivers on commitments.
– Solid common-sense judgment and ability to evaluate trade-offs pragmatically.
– Comfortable operating in ambiguity and adjusting strategies as priorities shift.
– Experience with space planning, office moves, workstation setup, and workplace layout.
– Understanding of building systems, health & safety regulations, fire / life safety codes, emergency procedures, or compliance frameworks.
– Experience coordinating events, meeting setups, new hire workspace onboarding, and other employee touchpoint services.
– Strong interpersonal skills, stakeholder management, and ability to influence across functions (HR, IT, leadership).
– Aptitude for continuous improvement, process optimization, and soliciting feedback to enhance employee exper ience.
What You Bring to the Team:

It’s an important role that covers many skills. This position requires:
– High school diploma or equivalent.
– Three (3) to five (5) years of experience in facilities, workplace services, office administration, or a related role (or equivalent combination of experience/education).
– Proven experience managing vendor relationships, contractor coordination, and service contracts.
– Strong organizational, communication, and multitasking skills, with the ability to manage competing priorities.
– Proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint) and aptitude to learn workplace / facilities management tools (ticketing systems, space reservation platforms, AV systems).
– Ability to work independently, make sound judgments, and take initiative in ambiguous or evolving environments.
– Commitment to workp lace excellence and a service-oriented mindset.
