Position Title: Human Resources Assistant
Salary Information: $47,000+
commensurate with experience and qualifications

Position Summary
Colonial Farm Credit (www.colonialfarmcredit.com) is an agricultural credit cooperative and provides loans for farms and country homes; land purchase, home construction, and improvements; buildings, machinery, livestock, and equipment; production capital for both full-time and part-time farmers; and ag-related businesses. We have approximately 70 employees and office hours are 8 AM-4:30 PM Monday through Friday.

We have an excellent employment opportunity for a Human Resources Assistant in our Administrative office located in Mechanicsville VA. Under the direction of the Human Resources Manager, this position:
• Job Requisitions and New Hire Processing
o Drafts job requisitions for approval and input/posting in Oracle and various posting sites/board
o Schedules interviews to include WebEx invitations when appropriate
o Updates applicants on status of process in Oracle throughout interview process and provides all applicants with outcome of job requisition
o Orders background reports and saves PDF of completed background reports
o Requests reference letters and follows up until received
o Drafts offer letters, position descriptions, total compensation statements, and confidentiality agreements for review by hiring team prior to sending to candidate of choice
• Payroll Processing
o Knowledge of and adherence to payro ll schedule for timely posting of submissions
o Reviews element changes in Oracle for employee address and bank account changes
o Runs workflow processed in Oracle and saves workflow reports to designated folder for review
o Identifies specific payroll cycle adjustments for communicating with Controller and CFO for reconciliation
• Administrative
o Ensures up to date employment law posters in all offices
o Orders necessary items for new employees (i.e., business cards, magnetic name tag, and name plate)
o Updates employee directories and contact listings
o Assigns training to employees in learning management system as directed and ensures timely completion of assigned training
• Benefits Administration
o Serve as a liaison between Association employees and the AgFirst Farm Credit Bank’s benefits department
o Assist employees in the interpretation of benefits coverage
o Coordinate open enr ollment and qualifying event changes for active employees
o Conduct new employee orientations to ensure employees gain an understanding of benefits plans and enrollment provisions
o Counsel employees and potential employees/applicants on plan provisions to assist individuals with making informed benefits decisions
o Oracle HCM time cards: track missing timecard when needed; ensure use and reporting of holidays; track and send periodical reminders for five-day leave requirement per Association policy
o Prepares FMLA (Family Medical Leave Act) documents, when needed

Education, Experience, and Requirements (things you need to be successful)
• Education or experience equivalent to an Associate’s degree in business, human resource management, or comparable field
• Minimum of two years of demonstrated professional work experience in human resources field including:
o HRIS (human resources information system; Oracle HCM system preferred)
o employee records maintenance
o employment laws and regulations
o benefits administration
• Intermediate skills in HRIS system (Oracle HCM preferred) and Microsoft Outlook, Word, and Excel
• Ability to maintain confidentiality
• Superior attention to detail
• Exceptional interpersonal, communication (written and oral), customer service, and grammatical skills
• Ability to work effectively with employees at all levels and interacts with others in a tactful manner
022; Able to organize and prioritize work in order to efficiently handle multiple assignments and work independently under general supervision
• Reacts well under pressure
• Acceptable background reports (credit, criminal, driving, drug screen, and education)
